Terms & Conditions
RESERVATIONS/CONFIRMATIONS
All accommodation reservations must be confirmed at the time of booking by either a valid
credit card deposit or full pre-payment. By issuing the credit card details the booker is giving
Rowntree Lodge permission to take payment from the card if a reservation is cancelled or if
an account is left unpaid. Rowntree Lodge does not hold provisional bookings. Once a
reservation has been confirmed, where possible Rowntree Lodge will confirm the reservation
by email. If a sofa bed or cot is required then an additional charge will be levied per the
current published tariff.
BEDROOM RATES
All room rates quoted are at any time subject to availability as well as price variances subject to seasonal and event driven factors. Rowntree Lodge have the right to change and/or amend rates as we see fit. Discount rates are calculated against our standardised room tariff.
CHECK-IN
Check-in is from 13:00pm on the day of arrival and will close at 17:00pm. Check-ins after 17:00pm will be arranged through key collection from a lock box, details of which will be sent to the guest on the day of arrival. Please liaise with hotel staff prior to arriving for any specific arrival requirements. For late or early check in requests with regard to group bookings, it is the responsibility of the lead guest to inform all of their party of the check in and check out times. This information is also clearly stated in our ‘Room Information Booklets'. We will require details of a payment card or a cash deposit to commence your stay.
CHECK-OUT
We ask that ALL guests vacate their room by 10.00am on the day of departure. However,
subject to availability, it may be possible to extend your departure time:
11:00am at a supplement of £10
12:00pm at a supplement of £15
15:00pm at a supplement of £30
The above offer is subject to availability on the morning of departure.
WHILE AT ROWNTREE LODGE
PARKING
Rowntree Lodge does not have onsite parking. There is on-street parking around the streets
of the hotel. There are two parking options:
3 hour parking disc (free of charge) no return within an hour
2 day parking permit (£10)
2 streets up or 3 minutes walk away you can park for free for the duration of your
stay
All parking options can be arranged at check-in.
SMOKING
Rowntree Lodge operates a NO SMOKING POLICY throughout the site which includes all
bedrooms. This policy enables us not only to meet legal requirements, but also to create a
comfortable environment for all guests to enjoy.
Should we believe that guests have been smoking in bedrooms or any communal areas
within the hotel a fine of £250 will be immediately charged to cover the deep cleaning of the
room or area. Should the damage inflicted to the property exceed the extent of the £250 fine
we reserve the right to charge offending guests the full cost of any would be remedial works.
LOST PROPERTY
Property left at Rowntree Lodge will be kept for one week and then disposed of. If you
require items returning please contact us and we can arrange the return of items. Items left
at Rowntree Lodge will be returned by request to the owner on receipt of a minimum charge
by BACS transfer to cover the cost of postage and staff availability to travel to the Post
Office.
DAMAGE
The Client shall be responsible to the Company for any damage caused to the allocated rooms or the furnishings, utensils and equipment therein or to the Hotel generally by any act, default or neglect of the Client or any sub-contractor, employee or guest of the Client and shall pay to the Company on demand the amount required to make good or remedy any such damage. If you do so, we will terminate your Booking without refund and reserve the right to require you to leave Rowntree Lodge immediately. You authorise us to charge you any costs we incur if you cause damage in Rowntree Lodge including costs for specialist cleaning, repair and renewal, the cost of the room for any time period it is unusable and any other inconvenience caused. We may refuse to accept bookings from you in future. Rowntree Lodge also reserves the right to subsequently inform the relevant authorities who may act as they feel fit if it is suspected that a breach of legislation has occurred
HEALTH AND SAFETY
The Guests using the facilities at Rowntree Lodge must comply with all the regulations concerning licensing, fire, health and safety.
WIFI AND INTERNET ACCESS
We hope all our guests will use the Internet safely and sensibly during their stay at Rowntree Lodge, however for those of you unsure as to what that means please consult our more comprehensive WiFi and Internet Terms and Conditions document for clarification. Available upon request. By using the Service you are confirming that you accept the terms and conditions as the basis of your use of the wireless internet access provided.
CANCELLATION INSURANCE
We recommend a holiday cancellation insurance policy, which covers cancellation through illness, accidents etc. CCTV In the public areas of Rowntree Lodge and some staff areas CCTV is in operation and video recordings may be made. This activity is carried out for security and service reasons for the better management of Rowntree Lodge and security for all its Clients and staff.
DATA PROTECTION POLICY
Rowntree Lodge is committed to protecting (i) the privacy of its customers; and (ii) the confidentiality of the information provided to it by customers. Your personal details will not be sold on or passed on to third parties. Terms Are Before Commission Unless otherwise indicated in writing all rates are the VAT inclusive rates after any commission charges has been applied. (I.e. quoted rates are the rate the Company receives payment for)
CANCELLATIONS
Bookings can be cancelled free of charge up to 14 days before the booked date of arrival. Within 14 days of arrival, bookings can be cancelled and 75% of the full booking value will be refunded. Within 7 days before arrival bookings can be cancelled and 50% of the full booking value will be refunded Booking cancellations made within 72 hours of arrival date will not be refunded to any value.
RELAXATION OF TERMS AND CONDITIONS
Rowntree Lodge may relax any of the aforementioned terms and conditions without prejudicing the right to subsequently strictly enforce them.
